Enter your guest count
Tell us how many people you expect. Quantities for plates, cups, napkins, ice, and decorations scale automatically with headcount.

Frequently asked questions
Common questions about party supplies, quantities per guest, and how to use this checklist.
What supplies do I need for a party?
At minimum, every party needs tableware (plates, cups, napkins, utensils), drinks and ice, a few decorations (balloons, banners, tablecloths), and cleanup supplies (trash bags, paper towels). Larger or themed events add entertainment, party favors, signage, and venue-specific items like tents or extension cords for outdoor events.
How many plates per person should I buy for a party?
Plan for about 1.5 plates per guest. People often grab a fresh plate for dessert or seconds, and you want a small buffer for spills. For 30 guests, that means roughly 45 plates. Buy a similar number of forks and knives, plus 2-3 napkins per guest.
How many drinks should I plan per guest?
A safe rule is 2 drinks per guest for the first hour and 1 per guest for each additional hour. Plan for at least 2 cups per guest since people lose track of theirs. For ice, count on about 1 to 1.5 pounds per guest, more for outdoor events or BBQs.
What's the difference between a budget, standard, and premium party?
Budget parties focus on essentials and bulk packs - basic tableware, a few balloons, and one banner. Standard parties add a themed color scheme, more decorations, and party favors. Premium parties include a photo backdrop, custom signage, premium tableware (real or heavyweight disposable), and extras like centerpieces and uplighting.
Can I print the party supplies checklist?
Yes. Use the Print Checklist button to get a clean, printer-friendly version with checkboxes you can mark off while shopping. You can also copy the full list as plain text and paste it into Notes, a shared doc, or a text message to whoever is helping with shopping.
