The formula

Total miles = one-way miles x 2 x round trips. Vehicle cost = total miles x (fuel price / mpg + vehicle cost per mile). Each labor line = hours x crew size x hourly rate. Fee = total direct cost / (1 - margin), raised to your minimum fee if the minimum is higher.

How much should a party rental company charge for delivery?

Charge enough to cover round-trip vehicle cost, paid crew time for driving, loading, and setup, plus any access or fixed costs, then add your profit margin. Many local operators land between $50 and $200 per event, but your own costs should set the number.

Should I count the return trip in my delivery fee?

Yes. Every delivery is a round trip, and most events need a second round trip for pickup. This calculator doubles the one-way distance for each round trip so both mileage and drive labor are included.

What is the difference between margin and markup?

Margin is profit as a share of the price, while markup is profit as a share of cost. A 30% margin on $100 of cost means a fee of $100 / (1 - 0.30) = $142.86, while a 30% markup would only charge $130.

When should I use a minimum delivery fee?

Use a minimum fee so short, quick deliveries still cover the time it takes to schedule, load, and dispatch a truck. The calculator only applies it when it is higher than the margin-based fee.
